What a professional invoice actually needs

A client is more likely to pay promptly when an invoice looks complete and unambiguous. That means a unique invoice number (so both sides can reference the same document later), a clear issue date and due date, your business details and the client's billing details, and each charge broken into its own line item with a quantity and rate rather than one lump sum. This tool includes all of those fields by default, plus a tax rate field and a notes area for payment terms or a thank-you line fill in what applies and delete or ignore the rest.

Why itemizing line items matters

Listing "Website design 1 $500" and "Hosting setup 1 $100" separately, instead of billing a flat $600, gives the client something to check their own records against and makes disputes easier to resolve if they only agreed to one of the two items, it's obvious which one to query. It also gives you a running record of what you actually charged for on past jobs, which is useful when quoting similar work later.

Payment terms and due dates

The due date defaults to 14 days after the invoice date, a common "net 14" term for freelance and small-business work net 15 and net 30 are the other two most common conventions. Whatever term you use, stating it explicitly (either in the due date or spelled out in the notes, e.g. "Net 30" or "Due upon receipt") removes any ambiguity about when payment is expected and gives you clear grounds to follow up if it's late.

Getting your invoice into a client's inbox

Click "Download / Print Invoice" to open your browser's print dialog, then choose "Save as PDF" as the destination instead of a physical printer. That produces a clean PDF with no watermark or branding from this site, ready to attach to an email or upload to whatever invoicing or accounting software the client uses.

FAQ

Is this invoice legally binding?
This tool creates a standard invoice document, but whether it's legally sufficient and what fields your jurisdiction requires, like a tax ID or VAT number depends on your local business regulations. Check what's required where you operate before relying on it for formal accounting.

Can I save my invoice to edit later?
No this tool doesn't store your data between visits, and nothing is saved to a server. Save the PDF once you're done, or keep the browser tab open while you finish editing.

Can I add my own logo?
Not directly in this version the preview is text-only. If you need a logo on the document, you can print to PDF here for the numbers and layout, then add a logo afterward in a PDF editor, or paste your business name as styled text in the "From" field.

How is tax calculated?
The tax rate field applies a single flat percentage to the subtotal of all line items combined. If you need to charge different tax rates on different items, calculate those separately and enter the blended total tax as one of your line items instead.

What if I have more line items than fit on one page?
You can add as many line items as you need with "+ Add Line Item" the print layout will flow onto a second page automatically if the list is long, so nothing gets cut off.
